Administrative Project Coordinator

The Department of Pharmacy is looking for a proactive project coordinator to support three research centers: the Copenhagen Centre for Regulatory Science (CORS – http://pharmacy.ku.dk/research/cors), the Leo Foundation Center for Cutaneous Drug Delivery (LFCCDD – http://pharmacy.ku.dk/research/lfccdd) and the Center for Biopharmaceuticals and Biobarriers in Drug Delivery (BioDelivery – http://biodelivery.ku.dk).    
 
About us 
Department of Pharmacy is employing 175 people distributed as Scientist, PhD Students and Administrative personnel among others. 
Our mission at the Department of Pharmacy is to advance the pharmaceutical sciences by performing drug-related research and research-based teaching. This happens within a range of topics including: 
  • pharmaceutical technology and formulation 
  • drug delivery 
  • advanced drug analysis 
  • clinical and social pharmacy 
The Department of Pharmacy emphasizes further development of internationally recognized programs of research and education. We are committed to serve the Danish society and the international scientific community with the Departments knowledge. 
 
We are a part of Faculty of Health and Medical Sciences, which employ around 3,350 people with an inspiring international environment. Our mission is to create new knowledge and recognition through our core task: Education, Research, Sharing knowledge and Communication.  
 
Task and responsibilities 
  • Scientific event planning: Planning and organizing workshops, symposia and other scientific event (support to scientific program committee and contracts with external speakers) 
  • Coordination of internal center meetings: Organization and facilitation of internal staff meetings, Scientific Advisory Board meetings, Steering Committee meetings, annual retreats 
  • Centre support and administration: Annual reports, grant application administration, day to day administrative activities to support the team, coordinating communication and dissemination (e.g. website, conferences, contact point for center-related issues) 
  • Financial support: Budgeting and accounting in accordance with funding’s and reporting requirements, university policy and standard accounting practices, i.e. liaison between center and the institute administration about the economy and budget, financial control of conferences, regular reporting of centers finances, preparation of financial reports for external financed projects 
  • General support to center management: assistance with employment, visual project management tools maintenance etc.  
About you 
You have a wide range of administrative and/or project management experience coupled with a keen interest in working in a flexible and dynamic environment. Fluency in English and Danish (oral and written) is essential, as well as self-motivation, the ability to prioritize and manage time to meet deadlines.  
 
Qualifications 
  • Relevant educational background  
  • Experience of research administration in Higher Education or a similar environment  
  • The ability to work effectively on your own initiative, as well as part of a team 
  • The ability to multitask and prioritize between tasks 
  • Experience in working with internal websites  
  • Excellent interpersonal and organization skills  
Employment conditions  
The position is a temporary position for 1 year with the possibility of an extension. Your working hours will be 37 hours per week.  
We expect you can start September 1, 2017 or soon hereafter.  
 
Employment will be in accordance with the provisions of the collective agreement between the Danish Government and Public employee agreement OAO-S and collective agreement for kontorfunktionærer, laboranter, og it-medarbejdere (HK STAT), or the collective agreement between the Danish Government and AC.  
If you are appointed as a “HK”, you will be classified on 3.1., which currently is DKK 25,993.75 monthly. If you are appointed as AC you will be classified after your relevant experience according to AC agreement. It will be possible to negotiate supplements due to qualifications and experience.
